What to Do Before You Move Your Office

Moving your business to a new location can be an exciting, positive event:  new beginnings, new environment, a fresh start.  And yet, for many organizations the moving experience is anything but positive. It can be stressful, more expensive than planned, and can be the cause of a major interruption in your business.With many years of experience helping businesses like yours move, we have found some techniques that can make moving your office:

This checklist will get you started on understanding which components of your technology ecosystem need to be addressed and how. It will also give you a framework for planning and timing the many steps of your move.

Choosing Your New Office Space

You need bandwidth to accommodate your business as it exists today and in the future.  The availability of business grade broadband varies widely and even wildly from location to location -- even within the same city. Don’t make the expensive and possibly disastrous mistake of selecting a location that isn’t served by low-cost, high bandwidth carriers. 

Planning and Coordinating Your Move

Now that you have your site picked, you'll need to build an internal and external team to help. Each team should have a leader who will be responsible for coordinating with your vendors:
  • IT
  • Voice
  • Network services 
You'll want to make sure that each vendor knows your moving timeline, so they can have their services must be installed, tested, and ready to go when you need it.

Move, Upgrade, or Replace Your Technology?

Now is the time to take a look at what technology your business is currently using and what's been hidden away in a back closet. By doing this now you will be able to make a decision on what to move with you, what can be left behind and/or upgraded.
 
Here's a list of common items that most businesses will need to consider when moving: phones, servers, workstations, monitors, switches, and routers.
 
Be sure that the teams you have assembled are asking the following questions:
 
Do we have cloud services that will need to be reconnected?
 
What are our existing contract obligations with our carrier services for voice and data? What do they require in the event of a move or termination?

Getting it Right the First Time

The person or people responsible for managing your move must treat it as the complex, critical project that it is. It won’t and can’t be perfect, but with the right team (internal and external) it can be done well, on-time, and on budget.
